INTRODUCTION

This introduces data of the student trainee, highlighting the college of her origin as well as

her field of specialization.

Cavite State University – Imus Campus

Cavite State University’s “CvSU” humble beginning started in the 1960s as Indang

Intermediate School however, in 1988 by the merit of Republic Act No. 8468 it was now

converted as Cavite State University. It is one of the largest schools in the province of Cavite

that has 11 satellites in different parts of the province of Cavite and produces globally

competitive graduates. Imus Campus is one of the state university’s satellite campus that was

established in the year 2012. As the population is growing rapidly, over 4,583 students enrolled

for the year 2020, the Imus Campus has now improved in building facilities and accommodates

11 different courses that are in demand in today’s generation.

Bachelor of Science in Office Administration

BS Office Administration or commonly known as “BSOA” is a course offered in CvSU

– Imus Campus. The course prepares the students to an administrative organization and

enhances skills to enter in sophisticated positions such as managerial positions and

supervisory. BSOA is one of the top courses in CvSU – Imus Campus that has a mass of

students enrolled in. According to Career FAQ’s Courses & Career Resources (2011), Office

administration courses are commonly advertised and accepted in different companies since

students who graduated from the said course are knowingly flexible, responsible, capable to

work in a diverse workplace, and has an excellent training groun

On-The-Job Training

In the Philippines' educational system, internship or OJT is designed to engage students

in an actual work environment that is related to their course. It gives opportunities to the

students to apply the computations, experience the real-life situation problems and lessons

that have been taught inside the campus. According to “The On-The-Job Training

Manual” of DOLE Philippines, students must not only apply the principles and ideas learned

in school but also to enhance their personalities and attitudes towards the work, critical

thinking, and technical knowledge inside the workplace. For every state universities and

colleges, they’re requiring every student to undergo in the said practicum by within a specific

number of hours.

There are three roles play in an actual “On-The-Job Training”: (1) The Trainee, (2)

Faculty Practicum Coordinator, and (3) On-Site Supervisor.

The Trainee (students) should always observe disciple and conduct towards their colleagues

inside the work environment. They must present the task that has been given to them on time.

Faculty Practicum Coordinator or the professors are responsible too for the student’s

evaluation and monitoring by doing initial on-site visit to make sure that the trainees were

doing great.

During the practicum, the On-Site Supervisor is liable for the student’s safety and

assurance that the trainee is learning inside the workplace. They’re also the one who facilitates

and evaluates the student’s outcome after completing the given amount of time by the

university.

For the BSOA of CvSU – Imus Campus, performing OJT in an actual workplace is an

outstanding opportunity to enhance an individual’s capabilities towards work. According to

Gabion Jr. III (2013), students must take the practicum seriously as it become a fundamental

tool to discover career options in life as a student.

2|Page
Significance of the On-The-Job Training

OJT or On-The-Job Training – is a beneficial practicum that could help the student’s

physical, mental and social capabilities and skills. It is advantageous since the students can

able to handle first-hand actual situations and learn standard practices that is may or may not

yet learned inside the campus. The practicum helps to orient that students about their future

careers wherein, it guides and familiarizes the trainees inside an actual work environment.

Undergoing an OJT could enhance the student’s interpersonal skills since he/she will

encounter different employees in different departments. Through this, the trainee could

practice his/her ability to speak professionally regardless of who and what position does

he/she talking with.

According to the famous book of Mark Manson “A Counterintuitive Approach to Living

a Good Life”, take the negative remarks of your life into positive. In executing OJT, you will

not be 100% sure that the student would do the task perfectly and expectedly. Taking

constructive criticism from the boss’s and employer will help the student’s quality of work as

well as improve their growth as an individual.

OJT is like a long hours and weeks of training ground; this could help you as a person

if you still have no idea what happens in a working reality. Doing good or higher than expected

by the employers is beneficial mostly for graduating students. If the employer is impressed by

the trainee’s quality of work, he/she will give a high evaluation grade and may absorb or offer

the trainee to work with the company after graduating (Maghari, 2014) because making

connections is also a great opportunity while conducting an OJT.

Gen Z is undoubtedly great in technicalities such as computer work and using tricky

equipment. The practicum could help the trainee to have insights and awareness of what

apparatus and equipment does a classic office environment has. Being modernize is the thing

that most employers are looking for. Technical skills could build the trainees up while

performing OJT; such as MS Word, MS Excel, and also how to work the office necessities

properly and effectively.

3|Page
Objectives of the On-The-Job Training

The objectives of the programs are:

To expose the students in an actual workplace, encounter real-life work problems,

contribute to an organization, and gain knowledge respective to the field of the trainee’s

learning.

To become innovative. Through the years, innovation plays a huge part in different

fields of organization. Through OJT, student’s creativity can possibly support the future’s

innovation by criticizing, good judgment, and suggests realistic ideas.

To give students an opportunity to have an interest and choose a field of workplace

after finishing their field of specialization.

To build confidence and preparedness to work effectively inside the workplace after

completing the training.

To enhance trainee’s knowledge and competencies in his/her chosen field of

specialization.

To practice taking constructive criticism from a higher position.

To have an opportunity to handle basic challenges to complex problems that are usually

encounter in the workplace.

THE TRAINING EXPERIENCE

This chapter narrates the training that the student trainee gone through during the OJT

period. This will reflect the training played as a developmental tool and how it was effectively

done by the student trainee.

Task Performed

The 200 hours of the On-The-Job Training of the student trainee started on February

17, 2020, at 8 AM. She was shortly guided by the Supervising Administrative Officer IV, Ms.

Cherry Chrisel Jarin. It all started with a brief introduction of the OSCA Unit's profile and usual

services for the Imus City senior citizen. By then, the trainee will now be residing at the OSCA

Unit for the next few weeks.

On the first day of the trainee's training -- she was oriented by the OSCA Unit's clerk,

Ms. Vicky, of some of the common concerns of senior citizens daily. Ms. Vicky recommended

the trainee to memorize the handed application/registration form for the senior citizens so that

the trainee will know how to handle and inform every elderly that will come to the office. The

trainee was also informed about the process of every objective of the senior citizens coming

to the office.

The next few weeks were stimulating to the trainee's experience as an intern. The

OSCA Unit Admin, Ms. Monica De Castro, taught the trainee how to operate an electronic

typewriter to release OSCA ID.

One of the frontlines of the OSCA is the Burial Assistance, Ms. Gen, the OSCA Admin

Aide, helped the student trainee to become confident and socially active by ordering her to go

to different facilities and department. The intern managed to speak with different people

formally and respectfully regardless of their position at the City Hall of Imus.

During performing training, the student trainee encountered few mistakes. While the

other staffs were on a meeting, she taught she was confident enough to assist one applicant

all her own since she was observing a lot to the responsibilities of every staff every day. Little

did she know, she made a mistake after asking Ms. Vicky if she did it right, but later on was

resolved.

20 | P a g e
The training only lasted for about 104 hours due to the Covid-19 pandemic. The intern

hoped to complete the 200 hours since she liked the work environment at the OSCA. However,

she performed different tasks that were assigned to her and accomplished and lasted until

March 10, 2020, such as:

• Handling in-bound and out-bound calls

• Assisting senior citizens (inside the office, general assembly)

• Recording the total of monthly applicants

• Sorting available PhilHealth cards

• Attending OSCA's General Assembly for the Senior Citizens

• Separating attachments (requirements and registration form)

• Sending substantial documents to different facilities (City Legal Office, Department,

Budget Office, Treasurer's office, TRU Department and IMUSCAI)

The OJT was an immense step for the student trainee's experience and as an

individual. The program helped her to sort and execute the responsibilities and tasks properly

that’s given to her every day.

21 | P a g e
Observed Strengths of the Training Area

Discovering and observing plays a big part in conducting a training. There is nothing

such as a "perfect workplace"; the trainee's experience was an enormous feeling since every

employee treat each other not just colleagues but as a family.

The OSCA Unit employees welcomed every intern that enters their facility and make

themselves comfortable during working hours, no pressures. However, they still manage to

guide them with 100% of their ability and wisdom.

During the training, the intern luckily got to spend time with the staff on different

occasions and achievements they got. The OSCA staff were generous and very considerate

in so many ways. They serve every senior citizen applicant at the OSCA Unit full smiles and

willing them to help with considerations. Observing them gives a reputation on how

compassion their work is.

In the time of pandemic, Covid-19, the OSCA employees were still working and helping

every Imus City's Senior Citizens despite the risk, enhance community quarantine and health.

The trainee has great gratitude to had experience working and accomplishing duties at the

said facility.

22 | P a g e
Insights

The training program is a weapon that you can use in the future. It was an opportunity

to orient yourself on the possibilities you may encounter, whether it is good or not. The trainee

appreciates the lessons that she has learned inside the campus and her professors' tips to do

well inside an actual workplace. Moreover, the list below are the things that the trainee has

learned while conducting the training.

• The trainee was able to cope with different people from different department.

• The trainee was able to discover things she has never seen before.

• She learned to listen carefully and wholly.

• Performed task earlier than expected.

The training encouraged the trainee to focus on the responsibilities inside the

workplace. She discovers herself that she was not just good at socializing inside the campus,

but also inside the workplace. It was an overwhelming experience for the trainee to feel

welcome and not feeling like "left behind" as she copes with diverse and new people with

respect and formality, and it was progress for her.

It was an enjoyable and enlightening performing the training, however, in reality,

working was not perfect and dreamy; This helped the trainee's mindset to do great things

accordingly and accurately to lessen the mistakes that she might commit. Open your mind to

the possibilities and not take everything personally.

Conducting the said training was a huge stepping stone to every student who dreams

big. Knowledge will always be a vital tool in so many ways, especially on "work" as he or she

chose a career that determines to continue in the future, and the best thing that the trainee

has learned is to company with the great leadership and guide of the people inside the

workplace. The OJT Program increased the determination of the student trainee to continue

her chosen degree and could proceed on taking Master in Public Administration, in the next 2

years.

23 | P a g e
Problems Encountered

Constructive criticism plays an immense role while conducting training, and causing

mistakes means progress; This will develop an individual to grow and learn more.

During performing the training, the student trainee unintentionally made few mistakes

that cause some mild trouble inside the workplace. One of the errors she made was when

she initiates to do some things without asking permission to her superiors. It was when one

applicant of senior citizen ID asked to get her old ID, which is from Imus however, the applicant

is now residing in a different city. All of the staff of OSCA that time was at the meeting, so the

student relied on her observation. The trainee was also confused after the decision she made

so; she asked her superior if she did the right thing. Her superior told her what is the right thing

to do if ever I encounter problems like that again. The next day after, the applicant surrendered

her ID since she, herself also made a mistake by taking it.

After the mistake, the trainee became concerned about her decision-making especially

if she's not quite that sure about it.

24 | P a g e
Suggestion for Improvement

Unlikely events such as mistakes, imperfections, and errors lead to improvements.

Things can be a little hassle inside a workplace, but the thing is, learning is a lifetime

involvement tool that we can use and discover in life, school, and even inside a work

environment. The trainee experienced some little errors while conducting the training. She

realized that the activities and lessons are a vital tool that could help as an initial guide to every

intern.

Attending the training could lead to exhaustion, but that's the point of it. It is part of the

work, because if you do not feel the tiredness and stress, then you will never know the

Brightside of the program. Work is a lifestyle and routine, and we will do it for the next 10 to

30 years or more; And, we cannot just give up on things because we feel exhausted on it in

weeks. Thus, the trainee suggests to continue on it until we see the advantage and benefit to

every student trainee.

Communication is the key. Interpersonal interaction is a great advantage and skill that

every student should have. Whether we like it or not, we will meet various people with diverse

personalities. Yes! We cannot please everybody, but the thing is, students inside the training

or school should not take things personally. We should at least give the benefit of the doubt

to our mentors and instructors. Another thing is; Student trainee has the right to ask and

question things as a component of the learning. Education can't just learn in school, but also

different places.

Listening is essential. There will be a lot of possibilities that trainees could struggle with

the internal and external barriers of listening; message overload, preoccupied, difficulty in

adjusting, etc. Focusing and understanding is the main key point to develop one's listening

skills. Personal problems should leave behind outside the workplace.

Make an initial study or research on the company you'll attend. For the last suggestion

of the trainee, this is a support to the students to have an introduction to the process, people

in the organization, and equipment that is used inside the workplace, and could leave a good

impression to the superiors.

25 | P a g e
SUMMARY

On-The-Job training is an aid that a student has to meet that allows them to acquire

relevant knowledge and skills through experience linked to the student's chosen course or

career path. The training empowers a trainee to engage in different people, problem-solving,

etc. This expands the students understanding and ability to reflect the school lesson and work

problems.

Performing OJT also gives an advantage to companies, since the trainees serve an

additional man-power and lesser labor without payment. However, employers of the company

can absorb the student trainee depends on his/her quality of work, performance, skills, and

determination and willingness.

Moreover, it is a tool that could independently help students discover their skills,

strength, and weakness. Performing OJT requires patience and perseverance; Acquiring good

qualities of a typical worker will lead to a better impression by the supervisors.

A student must prepare him/herself to the outcomes and possibilities that may occur

while performing OJT. Adapting proper etiquette in communicating supervisors and higher

positions is an important character that a student trainee must acquire. Every mistake,

achievements, errors, and actions that students do inside the workplace will reflect into the

institution that he/she's studying.

The thing is, there is nothing such as a "perfect environment"; either at school or

workplace, people tend to feel exhaustion and tiredness because it is inevitable. Either way,

people must look on the Brightside and the benefit of the training that could improve one's

character and skills, discover unusual things, and most importantly is, to learn.

Opportunities are everywhere; and, OJT is a stepping stone to progress in exploring

one's career path for a better future. It is a valuable program that transitions a student into a

professional career.

Hon. EMMANUEL L. MALIKSI
City Mayor
City of Imus
Poblacion 4B, Imus City, Cavite

Dear Mayor Emmanuel L. Maliksi

Warm greetings!

Cavite State University – Imus Campus has designed a curriculum for students to complete
an On-the-Job Training (OJT) Program as a requirement for graduation. City Hall of Imus is
one of the most prestigious institutions that our student would learn so much once they will be
accepted as a student-trainee in your good office.

In view of this, we are recommending Danielle R. Caaya who is currently taking Bachelor of
Science in Office Administration to be a student-trainee in your agency/firm with a
requirement to finish 200 credited working hours.

Should she be accepted, we will periodically make visits to monitor her performance for the
mutual benefit of the institution, the student, and your company. Just like other employees,
Ms. Caya will comply with the company policies, rules and regulation and will be subjected to
an evaluation at the end of the OJT period. The University will be responsible to provide your
company an evaluation form before the end of the training period.

Thank you very much.

Sincerely yours,

Endorsed by: Approved by:
